Questions and Answers to our Gift & Incentive Vacation Package Albums

1. Is there a hotel tax, when is it charged, and who is responsible for this charge? No. Hotel tax is now included in the price of the album.

2. When golf is included, is the traveler able to select a golf course of their choice within 100 miles of the hotel/resort? Yes! And there is no limit to the dollar amount of round(s) of golf for selected hotel! The traveler will be provided a Ciara Group Golf Voucher when their travel confirmation is sent. The traveler pays for their round(s) of golf, attaches the original receipt(s) to the voucher, and then returns these documents to Ciara Group within 45 days of checkout for prompt reimbursement. Cart rental is not included in the package.

3. I received more than one album. Can I use them back to back or on consecutive nights? Each album must be used at a single location and more than one album cannot be used at the same location consecutively. However, more than one album may be used at two different locations consecutively. Please note that each album will be handled separately when submitted and one location may have rooms available but not the other.

4. How soon will I be notified if I make my reservation at ordermygift.com and will I receive any additional materials in the mail? Ciara Group will normally advise travelers of the status of their request within two to five business days from receiving the request. The traveler has the option to receive their confirmation by USPS mail, e-mail, or fax. When they request e-mail or fax, they must provide an e-mail address or fax number. The Redemption Reply Card provides spaces for this information. If no specific request is made or the information we need to process the request is not complete, the confirmation or denial will be sent by USPS mail, in order to include all amenity and confirmation items together.

5. If I should have a problem while on my vacation, is there an 800 number I can call for assistance 24/7? Yes. Call 800-441-8993 to reach a Ciara Group Representative. It will not reach your particular hotel, but if you should encounter any difficulty with your hotel reservation, Ciara Group can assist you 24 hours a day, 7 days a week.

6. Can the Vacation Gift Albums be used for groups? No.

7. How many children can stay in the same room as the adults and what is the age limit? Normally, up to three children can stay in the same room with their parents. This will vary from hotel to hotel and with local fire regulations. When the maximum number of occupants in a room is four, we will contact you about your options. Most hotels will allow children up to 17 years old. Some hotels will allow children up to 18 years old. Most hotels will have a charge for cribs and rollaway beds if they are needed.

8. Who pays for the golf and breakfast, and is there a refund of expenses? What is the process? How long is a easonable amount of time to wait for my reimbursement? Ciara Group will reimburse travelers for all items that are included in their particular package and for which they receive vouchers. These vouchers and original receipts should be mailed to Ciara Group for reimbursement within 45 days of checkout. They will process your refund request promptly (within seven business days) and mail your reimbursement check to you.

9. Is there an 800 number to call to check on reservation status? Yes. Call 800-441-8993.

10. Can I fax my Reply Card to Ciara Group? No. Ciara Group allows online or USPS mail requests, but no fax requests.

11. Are the Vacation Gift Albums transferable to other family members and friends? Yes. All you have to do is give it to them. Take care of the album … if you lose it, anyone can pick it up and use it.

12. What incidental charges can I expect to have to pay for? You are responsible for transportation to and from your destination, any resort fees, and personal incidental charges such as food, beverages,parking, room service, telephone, etc.

13. What type of room do I receive? You will receive a standard room. With most hotels, this is a room with a double bed or two double beds. Occasionally, it will be a queen bed, two queen beds, or a king-size bed.

14. Are there any age requirements? Yes, at least one traveler must be 21 years of age.

15. When one of my hotels/resorts is no longer in Ciara Group’s Program, how will I know what change has been made? When you go online and enter a hotel/resort and a change has been made, you will be prompted with the name of the new location. When you mail in your Redemption Reply Card and a change has been made, we will contact you about the new location. The new location will be of at least the same quality and as close to the original location as possible. If you do not wish to use the new location, you may choose another hotel/resort from your program listing.

16. How many days ahead of the trip does Ciara Group need to receive the Reply Card? Redemption Reply Cards must be postmarked or entered online at least 35 days prior to the earliest requested arrival date. Redemption Reply Cards cannot be submitted more than 90 days in advance.

17. I received more than one album. Can I use them at the same location at the beginning and the end of my vacation? You may use more than one album at the same location as long as they are not used consecutively. Please note that each album will be handled separately when submitted and one request may be available but not the other.

18. How will I be notified if I mail in my Reply Card and what will I receive? You will be notified by the method you choose on your Reply Card: USPS mail, fax, or email. If we are unable to book your request, we will return your Reply Card to you.

19. Can I make a reservation request at the same location but request three different dates, since I don’t want to go anywhere else? You can, but when different choices for dates are close to each other, the availability might be the same on three requests. If you have a strong preference for a single location, it is best to select dates spread out over a period of weeks or even up to 90 days.

20. What constitutes a "group of rooms" when more than one family/friend requests the same resort on the same date? A "group" is more than two albums being booked for check-in at the same hotel/resort on the same day.

21. Do we have to eat breakfast at the hotel where we are staying and what is the refund process? No. The traveler can enjoy the "full American breakfast for two adults" anywhere within 100 miles of the hotel/resort where they are staying. Ciara Group will send a voucher good for up to $22.50 for the breakfast for two. The voucher will be sent with the traveler’s confirmation. The traveler must attach the original receipts to the breakfast voucher and submit it to Ciara Group within 45 days of checkout, for prompt reimbursement.

22. What expenses is the traveler responsible for? The traveler is responsible for all expenses not specified in the description of amenities that is printed in your program guidelines.

23. How much notice do I need to give Ciara Group if I change or cancel a confirmed reservation, and is there a cost? Travelers may change or cancel a confirmed reservation with at least five business days notice to Ciara Group, prior to arrival date. All changes and cancellations must be handled by Ciara Group (not the hotel) and will require a $25 administrative change fee to be paid by the traveler. Cancellations with fewer than five business days, not showing up for arrival as confirmed, or a traveler making changes directly with the hotel will void the use of the album.

24. If I supply my email address to Ciara Group what assurance do I have that I will not receive unsolicited email and advertisements? Ciara Group will not sell email addresses or use them for any purpose other than the execution of the program.

25. If I am going to fly, when should I book my airline tickets, or other travel? Do not book your airline tickets or any travel until you have received your hotel/resort confirmation letter from Ciara Group.

26. Can I use hotel/resorts not listed in my album? No. You must select from the hotels listed in your album and you must follow the guidelines listed on the Reply Card in your album. Also see the inside back cover of the album for guidelines.

27. With the concern these days about identification and credit, what do I need to have to check in? You will need the Ciara Group Confirmation Letter, a picture ID, and a credit card to cover any incidental charges you make to the room.

28. If my album is good for two nights or even three nights, do I have to use all nights at the same hotel? Yes.
